A mid-year school transfer is more common than most parents think — and with the right preparation, it can be completely smooth.

Families relocate for jobs. Children sometimes do not thrive in their current school environment. Occasionally a better opportunity presents itself mid-way through the academic year. Whatever the reason, a mid-year school transfer in Hyderabad follows a defined process — and knowing that process in advance removes most of the anxiety.
This guide covers everything: when mid-year transfers are possible, what documents you need, how the Transfer Certificate (TC) process works, what to expect during the assessment at the new school, and how to help your child settle in quickly after the move.
Part 1 — Is a Mid-Year Transfer Possible?

When Mid-Year Transfer IS Possible

  • At most CBSE schools including PGS — subject to seat availability
  • Any time during the academic year for most grades (Nursery to Grade 9)
  • Grade 10 — transfers possible only in Term 1 (before October) due to CBSE board registration deadlines
  • Grade 11 — stream change possible only at the start of the academic year in most schools
  • Grade 12 — transfers are very restricted due to CBSE board exam registration

When Mid-Year Transfer Has Restrictions

  • Grade 10 — CBSE board registration typically closes in September/October; transfers after this date are extremely difficult
  • Grade 12 — CBSE practicals and internals are school-specific; mid-year transfer almost never advisable
  • When the new school has no seats available in the required grade
  • When CBSE affiliation conditions restrict admissions for that grade
Part 2 — Documents Required for Transfer

What Documents Does a Mid-Year Transfer Need?

Prepare all of these before approaching the new school.

📄 From the Previous School

  • Transfer Certificate (TC) — original, signed and stamped by the Principal on school letterhead. This is the single most important document.
  • Previous academic year report card
  • Current academic year progress report (whatever is available)
  • Migration Certificate (only if transferring from another state)
  • Fee clearance / No Dues Certificate from the previous school

🆔 Identity & Address Documents

  • Child's Aadhaar card (photocopy)
  • Both parents' Aadhaar cards (photocopies)
  • Child's birth certificate (original and photocopy)
  • Address proof — utility bill, rental agreement, or Aadhaar showing Hyderabad address
  • 4–6 recent passport-size photographs of the child

📋 At the New School (PGS)

  • Completed admission application form (available at prachinglobalschool.com/admissions/ or in person)
  • Medical fitness certificate from a registered doctor
  • APAAR ID (Academic Bank of Credits ID) — if already issued to your child
  • Caste / category certificate — if applicable for reservation eligibility

⚡ The TC is Non-Negotiable

No CBSE school can legally admit a student transferring from another school without a Transfer Certificate from the previous institution. Getting the TC issued promptly should be your very first step after deciding to transfer. Most schools issue TCs within 5–7 working days of a written application.

Part 3 — The Transfer Process Step by Step

Apply for TC from the current school

Write a formal letter (or fill the school's TC application form) requesting the Transfer Certificate. Address it to the Principal. Give a minimum of 5–7 working days. The TC must be signed, stamped, and issued on the school's official letterhead. Keep two photocopies before submitting the original to the new school.

Enquire about seat availability at the new school

Visit the campus and submit the application

Schedule a campus visit. Submit the completed application form along with all required documents at the admissions office. Our team at PGS will guide you through the process personally.

Student assessment / interaction

The new school will conduct a brief assessment to understand your child's current academic level. At PGS, this is a relaxed, child-friendly session — not a high-stakes examination. The assessment helps us place your child in the most supportive class environment from day one.

Admission confirmation and joining

Once the assessment is complete, the school will confirm admission. Collect the orientation pack: uniform details, book list, timetable, and transport information. For residential students, the house parent will be introduced during the first visit.

How to Make the Transition Smooth for Your Child

Prepare them before day one

Talk positively about the new school, the teachers, and the activities available. Visit the campus together before the first day if possible — familiarity reduces first-day anxiety significantly.

Introduce yourself to the teacher

On the first day, take a few minutes to speak personally with your child's class teacher. Share any relevant information about your child's learning style, strengths, or areas that need extra support.

Stay in regular contact initially

For the first two weeks, check in daily with your child about how they are finding the new environment. Listen without alarm — initial adjustment feelings are normal and typically resolve within 2–3 weeks.

Encourage participation in activities

Getting involved in sports, clubs, or arts activities is the fastest way for a child to make friends in a new school. Ask the school what co-curricular activities your child can join immediately upon transfer.
